Takeoff is the step between a set of drawings and a price: how much material this job needs. For flooring it is a narrower question than general construction takeoff asks, and a harder one, because the answer changes with the pattern the boards are laid in.
A flooring takeoff is the measured quantity of material a job needs, read off the drawings rather than the finished building. The square footage of each room that gets a floor, grouped by the product and laying pattern going into it, with a waste allowance added on top. Anything short of that is an area measurement, and you cannot order against an area measurement.
Why flooring takeoff is its own category
A general takeoff tool measures a dozen trades and reports area, length and count. That is the right shape for framing or drywall. For flooring it stops one step short of useful, in two specific ways.
Quantities have to be grouped the way you buy. A house is rarely one floor throughout. The great room takes white oak in a straight plank, the study takes the same oak in herringbone, the bathrooms take tile. Three products, four rooms, and a purchase order that has to add up per product rather than per room.
Waste depends on the pattern, not the room. Two rooms of identical size need different amounts of the same wood if one is laid straight and the other in herringbone. Every board in a herringbone field is cut at an angle, and the offcuts are rarely long enough to start the next run. That difference is 10% against 20% of the whole order — on a 2,000 sq ft job, 200 square feet of hardwood.
Waste factors commonly used in the trade. Straight and plank layouts, 10%. Diagonal, around 15%. Herringbone and chevron, 20%. These are starting points rather than laws — your crew's real offcut rate on your usual material is the number worth trusting, which is why the rates should be yours to set.
How measuring from a plan set actually works
The drawing arrives as a PDF, because that is what architects send. It has no scale information a computer can read, but it does have something better: dimensions the architect already printed on it.
Calibration is clicking the two ends of one of those printed dimensions and telling the software what it says — 22 feet 6 inches. From that single measurement, every other distance on the sheet is known. Tracing is outlining each room that gets a floor, corner by corner. Square footage comes from the traced polygon, so an L-shaped room or a bay window is measured as drawn rather than approximated as a rectangle.
On a validated real plan set, this produced 152.6 sq ft against the 153 sq ft the architect had annotated — 99.7%. The remaining fraction is the width of the pencil, and it is well inside the waste factor sitting on top of it.
No CAD file is needed, and no CAD background. The reason this matters commercially is that CAD-based takeoff has always been the reason small dealers do this work by hand: the licence, the training and the file format were all barriers, and none of them are barriers when the input is a PDF and the tool is a browser tab.

Faster and more accurate at measuring, and priced for a general contractor measuring six trades. You get area, and then you do the flooring-specific part — grouping by pattern, applying waste, pricing from the dealer sheet — in a spreadsheet afterwards.

Choosing a tool: five questions worth asking
Most of the category demos well. These are the questions whose answers differ.
- Can it read the PDF the architect sent, or does it want a CAD file somebody has to produce?
- Does waste vary by laying pattern, and can you set the rates, or is there one global percentage?
- Do quantities come out grouped by product, or grouped by room for you to re-sort?
- Where does the estimate end up? A PDF export and an estimate inside your accounting system are very different amounts of work.
- What does it cost per seat? Per-user pricing decides whether a second estimator is an easy hire or a budget conversation.

The limit is the drawing: a plan that is out of date produces a takeoff that matches the plan rather than the building, which is why renovation work still wants a site check.
- What waste factor should I use?
- It follows the laying pattern. Straight and plank commonly 10%, diagonal around 15%, herringbone and chevron 20%. Treat those as starting points and set your own once you know your crew's real offcut rate.
- Does this replace a site visit?
- It replaces the evening spent scaling drawings by hand. On renovation work it does not replace the site visit — measuring the plan gets you to a number fast enough to bid, and measuring the site confirms it before you order.
