A vendor's price is tied to a particular sheet, tier, zone and effective date. SquareTally searches the PDF you choose, shows the source page, and lets you confirm the $/sqft before it reaches the quote.
Your $/sqft still has a paper trail. Search the dealer sheet you uploaded, compare the match against the rendered source page, then use or edit that figure before creating the customer quote.
What a dealer's price shelf actually looks like
One vendor is rarely one price list. Prefinished and unfinished can be separate sheets. A preferred-dealer sheet and a displaying-dealer sheet can carry different numbers. Zone 1 is not zone 2, and a distributor's in-stock sheet is another source again.
SquareTally stores those PDFs separately with the vendor, sheet label and effective date. When you search, you choose the sheet rather than relying on a shared software catalog that cannot know the terms under which your shop buys.

Getting the shelf in
Drop the PDF in. The vendor, what kind of sheet it is and its effective date are read off page one, and shown to you to agree with or correct. The sheet is stored whole, so the page a number came from can be put back on screen months later.
Looking up $/sqft
Search for a product and the answer comes back with three things attached: the figure, the page it was found on, and the line quoted verbatim — beside that page rendered on screen. You confirm it before it fills the project's $/sqft field.
That is deliberately one more click than an automatic fill. A price nobody checked is how a wrong number gets into a bid and is discovered only after approval.
When a vendor re-issues, the old sheet is superseded rather than deleted. Prices confirmed from it keep their link back to the page they came from, so a job quoted in March still shows the March line. New searches can use the current sheet.
From the shelf to the estimate
Measuring happens on the architect's PDF — calibrate the scale against a dimension already printed on the drawing, then trace each room. Turn the approved estimate into your contract
Upload your shop's own contract template once and review the wording and fields SquareTally extracts. For each project, fill the customer, address, agreement date, estimate number and contract price, then download a customer-specific PDF. Review it and upload it to DocuSign or another signing service; SquareTally does not send or sign contracts.

- Can it read my own dealer price lists?
- Yes. Upload the vendor PDFs your reps send, choose a sheet and search for the product. Each match includes the $/sqft, page and quoted line. Confirming it fills the project's visible $/sqft field, which remains editable before output.
- Does it handle dealer zones and tiers?
- It holds whatever sheets you hold. A zone 1 sheet, a preferred-dealer sheet and a distributor's in-stock sheet are three separate price lists, each labelled with its vendor, its kind and its effective date. You choose which one a price comes from.
- What happens when a vendor issues a new sheet?
- The re-issue supersedes the one it replaces instead of deleting it. Anything already priced from the old sheet keeps its source page, so an old quote still explains itself.
- How do I know the price on the estimate is right?
- Because you confirm it against the page. Every lookup returns the number, page and quoted line with that page on screen next to it. You can also edit $/sqft again during review.
- Do I need a seat for every estimator?
- Seats come with the plan. Solo is one seat at $55 a month, Pro carries five at $149 and Studio fifteen at $299, and projects are unlimited on all of them. On Pro and Studio the whole counter works in the same account.
- Does it work with QuickBooks Online?
- Yes, as an Intuit-reviewed app connected to your own company. On a measured project you can create linked material and labor drafts. Or choose a branded material PDF quote with no accounting connection. SquareTally never sends either output automatically.
- Can I create the customer contract after the estimate?
- Yes. Upload your shop's own template once, fill the customer and project details after estimate approval, then download a PDF to review and upload to your signing service. SquareTally does not send or sign it.
