Tutorial
Getting started with SquareTally
The first ten minutes on a new account: sign in, set up the company details that go on every quote, choose how new jobs are quoted, and create the first job.
Set up the account in this order: sign in, add your company details and logo, choose the New projects default, then create the first job. The company name and logo appear on every PDF quote and client sheet, and an installation PDF quote needs the company name. The New projects setting decides whether a new job opens as an installation quote, a material takeoff, or asks you each time.
1Sign in
Press Sign in at the top of any squaretally.com page. The card asks for one thing: your email address.
- Type your work email in the field marked you@company.com.
- Press Send link. The field is replaced by "Check your inbox — your sign-in link is on its way."
- Open the email and follow the link. You land in the app, signed in.
There is no password to choose and no separate sign-up form. The first time an email signs in, SquareTally creates the account for it. Every later visit works the same way: type the email, open the link.
A new account sees the plan and trial screen next, where you pick a plan and start its 3-day trial. The rest of this tutorial picks up once you are in the workspace.
2Your company and logo
Open Settings & team in the sidebar and find the My company card. Its line says what it is for: "Your name, contact details and logo appear on PDF quotes and client sheets."
- Fill in Company name, Address, Phone and Email. Tax ID (optional) can stay empty.
- Press Upload logo and pick a PNG, JPEG or WebP file. The logo uploads the moment you choose it, and the button changes to Replace logo with a Remove link beside it.
- Press Save company info to keep the text fields. The button turns grey and reads Saved.
Until a logo is uploaded, the preview square shows the first letter of the company name. The company name matters most: an installation PDF quote cannot be created without it, and the app says "Add your company name in Settings before creating a branded quote."
There is no account-wide tax rate here. Tax is set on each quote, in its Tax % field.
3How new jobs are quoted
Further down Settings, the New projects card decides what a new job quotes. It offers three choices:
- Installation quotes: for installers. A new job is quoted from the written description of the work.
- Material takeoffs: for dealers and design-build shops. A new job is quoted from rooms and the products laid in them.
- Ask for every project: for shops that do both. The New job dialog asks which one each time.
The choice saves the moment you click it, and "Saved — new projects will follow this." appears under the buttons. There is no separate Save button on this card.
The card also states the rule that matters later: "This changes new projects only — every existing project keeps the workflow it was created with." Until you pick, new projects are material takeoffs. On the Lite plan this card does not appear, because every Lite project is an installation quote.
4Create the first job
Go back to Projects. On a new account the page is empty and says "Create your first project above to start a quote."
- Press Create new job. The New job dialog opens.
- Type a Job title: a lot number, a street or a customer name, whatever your shop uses.
- If your default is Ask for every project, pick under "How will you quote this job?": Installation scope for a job described in text, or Material takeoff for a job priced from rooms and products. With any other default, the dialog asks only for the title.
- Press Create job.
The project page opens with the Keep this job moving checklist at 0/5. For a material takeoff, the five checks are rooms on the job, an area for every room, a material list, rooms assigned and priced, and labor costs on file. The button under the counter names the next step, here Describe the job, and section 1, Job details, waits for the text.
5The projects dashboard
Projects lists every job with its status, workflow, next action and rooms. The counters above the list show Projects, Needs attention, Ready to quote and With estimate drafts.
- Filter with All projects, Needs attention, Ready to quote or Drafts. In the clip all three jobs are new, so all three stay under Needs attention.
- Type in Search projects… to narrow by name. "Halloran" leaves the two Halloran jobs.
- Use the All workflows and Newest first menus to sort and narrow further.
Each row has Open, Rename and Delete. Rename opens a small dialog: edit Project name and press Save name, and the row updates in place. Delete asks you to confirm with Delete project. Open takes you to the job's project page and its checklist.
The Next action column reads like the checklist: "Add estimate details" for an installation scope job, "Add rooms" for a material takeoff.
Set up your own account the same way. Every plan starts with a 3-day free trial.
Start a free trial6Where to go next
The account is ready and the first job exists. Which tutorial comes next depends on how you quote.
- Installers quoting their own work from a written description: continue with Quote an installation job from a written description.
- Dealers and design-build shops quoting from rooms and products: follow tutorials 3 to 6 in order, starting with Read the job out of the installer's text, then Measure a floor plan, Materials, waste and pricing and Create the quote.
On Pro and Studio, Team and workspace covers inviting the rest of the shop.
Questions about getting started
- Is there a password?
- No. You sign in by typing your email and opening the link SquareTally sends to it. The first sign-in with a new email creates the account, so there is no separate sign-up form either.
- What is the trial screen I see after signing in?
- New accounts see the plan and trial screen before the workspace. Every plan starts with a 3-day free trial, and a card is required to start it. See Pricing for what each plan includes.
- Can I change the workflow of a project I already created?
- The New projects setting applies to new projects only. Settings states that every existing project keeps the workflow it was created with.
- Who sees the Settings cards?
- Owners and admins see the cards that change shared settings, including My company and New projects. Members see a note asking them to contact an owner or admin to update shared settings.
